Member Types:

Assigning members to a rotation notifies them of their assignment and prompts them to review their clinical onboarding requirements. Students and clinical faculty can access clinical site requirements only after they are assigned to a rotation.

Assign Members to a Rotation

Step 1:

From your Home page, click the "Rotations" tab in the navigation bar.

Step 2:

Locate the rotation you want to update. In the Actions column, click the "Edit" (pencil) icon.

Step 3:

Select the tab for the type of member you want to assign (students, clinical faculty, preceptors).

Step 4:

Locate each member in the Available list. You can also use the "Search" field to find one or more members.

NOTE: Members must be actively affiliated with your program before you can assign them to a rotation. If you cannot find a student, verify that the student appears with an "Active" status in the Manage Students (Affiliated) table. If the student has a "Graduated," "Withdrawn," or another inactive status, change the status to "Active" or "Pending Member Approval." If the student does not appear in your affiliated members list, create an account for the student or affiliate the student’s existing ACEMAPP account with your program.

Step 5:

Select the checkbox in the column next to each member you want to add to the rotation. Student assignments cannot exceed the number of slots requested for the rotation. If you need additional slots, the clinical site must approve the slot increase before you can assign more students.

NOTE: A maximum of 200 students may be connected to a single rotation.

Step 6:

Under "Is this Roster Complete?", select the appropriate option:

  • "Yes": Select this option when you have finished assigning members. ACEMAPP will automatically send the roster to the clinical site after all submission requirements are met.
  • "No": Select this option if you plan to assign additional members later. You are responsible for monitoring the assigned members’ compliance and manually sending the roster when it is ready.

Click "Save" to save your changes. ACEMAPP will send the roster only after:

  • The rotation has been approved.
  • All assigned students, clinical faculty, and preceptors are compliant in ACEMAPP.

NOTE: After you assign members, ACEMAPP automatically emails them with their rotation assignment and instructions for reviewing their clinical onboarding requirements.

Remove Members from a Rotation

Step 1:

Follow Steps 1–3 above to open the rotation and select the appropriate member type.

Step 2:

In the Assigned list, select the checkbox in the column next to each member you want to remove from the rotation.

Step 3:

Click "Save" to update the rotation roster.

NOTE: Removing a member from a rotation updates the roster immediately after the changes are saved.
