Review Rotation Requests

Reviewing rotation requests is a vital part of coordinating clinical rotations effectively. Use the “Quick Decide” or “Edit” methods to manage individual requests, or use the “Bulk Decide” feature to update the status of multiple requests at once.

Quick Decide

Step 1: Access Rotations

From your Home Page, click the "Rotations" tab.

Step 2: Click the "Quick Decide" Button

In the Actions column, click the “Quick Decide” (gavel) icon for the rotation request you want to update.

Step 3: Update the Rotation Status

Update the Rotation Status In the Quick Decide window, select the appropriate status from the drop-down menu:

  • Pending
  • Approved
  • Denied
  • Needs Info

Click “Submit” to save the updated status. To close the window without making a decision, click “Cancel” to return to the Rotations table.

Edit

Step 1: Access Rotations

From your Home Page, click the "Rotations" tab.

Step 2: Click the "Edit" Button

Under the Actions column, click the "Edit" (pencil icon) button.

Step 3: Review the Request and Check for Conflicts

The Rotation Request Edit Form displays the details of the request. Review the information to determine whether you can accommodate the rotation.

To check for scheduling conflicts, click the "Conflicts" tab.

The Conflict Checker displays conflicting rotation requests based on:

  • Unit
  • Start and End Dates
  • Shift Start and End Times
  • Days of the Week

Step 4: Update the Rotation Status

Update the status of the rotation to "Pending," "Approved," "Denied," or "Needs Info" at the bottom of the form.

After reviewing the request and selecting a status, click “Save”.

NOTE: The school coordinator will be notified by email of your decision on the rotation request.

Step 5: Add Comments (Optional)

If you need additional information or want to provide details to the school coordinator(s), review the Comments on Rotations Help Desk guide.

Bulk Decide

Step 1: Access Rotations

From your Home Page, click the "Rotations" tab.

Step 2: Filter Rotations by Status

From the Rotations table, select the appropriate rotation experience and status. Typically, you will use “Pending” when reviewing rotation requests.

Step 3: Select Rotations

Select each request using the checkbox on the left side of its row. To select all available rows, use the checkbox at the top of the table.

Step 4: Open Bulk Decide

After selecting the rotation requests, click “Select”, then click “Bulk Decide” from the drop-down menu.

Step 5: Update and Submit Bulk Decisions

The Bulk Decide page displays the following rotation information:

  • ID
  • Site
  • School
  • Program
  • Start and end dates
  • Shift times
  • Rotation type

Use drop-down menus to update the Status and Unit. After making all necessary changes, click “Submit” to save your updates.
